Manage Visibility with Ease


Admins often face a cluttered workspace filled with task templates—many of which aren’t relevant to their organization’s workflow. This is especially true for default System Templates, which cannot be deleted or hidden by default. The result? Confusion, cognitive overload, and wasted time trying to find the templates that truly matter.


The Template Library solves this by giving Admins control over what templates are visible in the workspace—whether they're user-created or system-provided.


What Is the Template Library?


The Template Library is a centralized space where Admins can manage template visibility and organization. You can find it on the Manage Templates page:


From the Library page, Admins can:

  • Enable or disable templates (including System Templates)
  • Browse both visible and hidden templates
  • Keep the workspace clean by surfacing only the most relevant templates


Meanwhile, the Manage Templates page serves as your go-to location for viewing and/or using templates. This page will only show templates that are enabled for use. Whatever templates are shown on this page will be the same templates available for selection throughout the platform.

How It Works


1. Enable or Disable Templates via the Library


In the Library page (Admin only), you can mark any template as either:

  • Enabled: Visible in default views, including the Manage Templates page
  • Disabled: Hidden from default views, but still accessible via filters in the Library

This applies to both:

  • User-Created Templates
  • System Templates (System Templates still cannot be deleted—but now you can choose to hide them from everyday use.)
Disabling a template will remove the option to use or send this template and will remove its favorited status for all users. This action will not remove it from any existing Task Group or Workflow templates, and it will remain available if sent as part of a larger request.


2. Use Templates via Manage Templates


Once templates are enabled in the Library, they become visible and selectable in the Manage Templates page—where teams go to choose and apply templates to new tasks or workflows. 


Disabled templates will no longer appear here, keeping the view clean and focused.


3. Browse the Full Template Library


The Library provides an intentional place for Admins to:

  • Browse all templates (enabled or disabled)
  • Reactivate templates as needed
  • Discover pre-made System Templates for inspiration without cluttering the main workflow views


4. Better Template Organization


With visibility control handled through the Library, your team can:

  • Keep only actionable templates visible in Manage Templates
  • Hide outdated or infrequently used ones for future reference
  • Avoid confusing similar templates (e.g., system defaults vs. custom copies)
